At PQFG, we take your privacy seriously. We follow the Personal Information Protection Act (British Columbia) (PIPA) and other applicable Canadian privacy laws. PIPA sets the rules for how organizations in BC collect, use, and protect personal information. We may update this policy from time to time. What We Collect and Why
We collect personal information needed to manage membership and operate the organization. In some cases, additional information may be required for safety or insurance purposes.We use this information to:
- Maintain membership records
- Communicate about meetings, events, and newsletters
- Manage governance and club operations
- Maintain required insurance coverage and affiliations
Access to member information is limited. It may be shared with Executive Committee members only for legitimate Society business. Day-to-day handling of member information is restricted to designated administrative staff who have signed confidentiality agreements and operate under Board oversight.
BC Wildlife Federation (BCWF) Affiliation
PQFG is affiliated with the BC Wildlife Federation in support of our mission and conservation values.Through this affiliation, PQFG participates in a specialized insurance program arranged through Acera Insurance. This provides liability insurance coverage and helps keep premiums stable and affordable.
As a condition of maintaining affiliation and insurance coverage, PQFG must provide limited personal information for the Primary Member to BCWF. This includes name, address, phone number, email address, and membership category.
An opt-out option cannot be provided, as full member participation is required under the terms of our affiliation. Permitting opt-outs would place our affiliation status and insurance coverage at risk.
BCWF creates a "MyBCWF" online account for members whose information is provided. Members can use this account to manage communication preferences and review BCWF privacy options directly with BCWF.

Consent
By applying for or renewing membership, you consent to the collection and use of your personal information for the purposes described above, including the required disclosure to BCWF and the creation of a MyBCWF account.You may withdraw consent for certain uses by contacting the Privacy Officer. However, withdrawing consent related to required BCWF disclosure will make it impossible to maintain active membership, as affiliation and insurance are essential to the organization.
Photos and Website Use
Photos may be taken at club events and used in newsletters, on our website, or on social media to promote club activities. If you have concerns about photo use, please contact the Privacy Officer.Our website may collect limited technical information (such as IP address) for security and spam protection. We may use cookies to improve website functionality. Third-party services may also operate under their own privacy policies.
